Billing & Plans

Werp™ offers three plans: Free, Starter, and Pro. Every plan has the same features; the only differences are the member and item limits and the monthly WerpAI™ credits (kiosks on the Free plan also show a small Werp™ banner). Bookings are unlimited on all plans.

Seat-based billing

Paid plans (Starter and Pro) are priced per active workspace member (seat). The monthly charge is calculated as:

Price per seat × number of active members = monthly charge

The seat count is the number of active members (people who accepted their invitation). Pending invitations don't count. On monthly plans, when you add or remove a member mid-period, Stripe prorates the difference by the day and settles it on the next invoice — nothing is charged or refunded that day. Unused time is never paid back as money; it becomes a credit deducted from later invoices. On annual plans, seats added mid-term are billed monthly for just those seats and folded into the annual plan at the next renewal. Seats freed mid-term stay paid until renewal and can be given to someone else at no extra cost (no refund or credit).

Example — A Starter workspace with 4 active members: ¥980 × 4 = ¥3,920/month (monthly billing) or ¥9,800 × 4 = ¥39,200/year (annual billing, about ¥3,267 per month). All amounts are in JPY; for customers in Japan they include Japanese consumption tax.

Monthly vs. annual billing

You can switch between monthly and annual billing at any time. Annual billing costs 10 months' price for 12 months — about 16.7% less than monthly. A switch starts a new billing period that day and is invoiced that day, with the unused part of the old period deducted; any credit left over is carried to later invoices (not refunded). While a “free months” promo code is running, you can’t switch to annual billing until it ends.

Billing intervalStarter (per seat)Pro (per seat)Saving vs. monthly
Monthly¥980¥1,980—
Annual (per year / per month)¥9,800 / ≈ ¥817¥19,800 / ¥1,650≈ 16.7 %

All amounts in the table are in JPY per user per month. For customers in Japan, they include Japanese consumption tax. Annual plans are invoiced once, at the start of each annual period. On annual plans, seats added mid-term are billed monthly for just those seats and folded into the annual plan at the next renewal. Seats freed mid-term stay paid until renewal and can be given to someone else at no extra cost (no refund or credit). A plan change during the year takes effect immediately: the price difference for the rest of the year is prorated by the day and invoiced that day, and seats you have already paid for are not reduced (you are billed for the larger of the paid seats and the current number of members). If that payment fails, the plan is not changed. Cancelling an annual plan mid-term does not trigger a refund.

Changing your plan

All plan changes go through a confirmation screen where you review seat count, billing total, and legal agreements before anything is charged.

Upgrading

Upgrades take effect immediately. On monthly billing, the price difference for the rest of the current period is prorated by the day and settled on your next invoice — nothing extra is charged that day. On annual billing, the difference for the rest of the year is prorated by the day and invoiced that day. If you also switch between monthly and annual, a new billing period starts that day and is invoiced that day. If the payment for a change invoiced that day fails, the plan is not changed.

Downgrading to Free

Selecting Free schedules a cancellation at the end of the current billing period. You keep your current plan until that date. On expiry, the workspace moves to Free automatically; your data is kept, but you can't add beyond Free's limits (3 members, 50 items).

Switching between Starter and Pro

Switching between Starter and Pro also takes effect immediately, with the difference prorated as with an upgrade (settled on the next invoice on monthly billing, invoiced that day on annual billing). To move from Pro to Starter, the workspace must fit within 10 members and 500 items (a workspace with 15 members can't switch).

WerpAI™ credits in detail

What consumes a credit

  • Product search — 1 credit per search, unless the same search is already cached. Searches that fail or find nothing still use the credit.
  • Picking a candidate — 1 more credit if that candidate's details haven't been fetched yet.
  • Reading a URL — 1 credit to fetch a product page from a pasted URL.
  • Translation — free; translating product info uses no credits.

Monthly quota reset

The monthly credit pool resets on the 1st of each month (Japan time). Unused credits do not carry over to the next month.

When credits run out

When the monthly pool is used up, WerpAI™ stops until it resets on the 1st of next month (Japan time). There are no extra or per-use charges. If you have bonus credits from a promo code, they are used after the monthly pool runs out. While WerpAI™ is paused, manual entry, CSV import, and everything else keep working.

Example — Starter includes 300 credits a month. If your workspace uses all 300 mid-month, WerpAI™ searches are unavailable until the 1st of next month, and your bill does not change.

Promotion codes

Promotion codes can be applied on the order confirmation screen before checkout. The following types are supported:

  • Percentage discount — reduces the first invoice by a percentage (e.g., 20% off).
  • Fixed amount off — reduces the first invoice by a fixed yen amount.
  • Free months — the subscription runs at ¥0 for a set number of months.
  • AI credits bonus — adds bonus credits that never expire, separate from the monthly pool. They are used after the monthly credits run out.

Codes may be restricted to a specific plan (e.g., Starter only), limited in total uses, limited to one use per workspace, have an expiry date, or require a new Stripe customer. Any restrictions are shown when you apply the code.

Payment & invoices

All payments are processed by Stripe. Werp™ does not store card details — all payment data is handled directly by Stripe's PCI-compliant infrastructure.

When subscribing for the first time, you are redirected to a Stripe-hosted checkout page to enter payment details. Subsequent plan changes and seat count adjustments are handled in-place without a redirect.

Customer portal

Admins can open the Stripe Customer Portal from Settings → Billing → Manage billing. From the portal you can: update your payment method, change billing contact details, and download all past invoices as PDFs.

Invoice history

The Billing page shows your 24 most recent invoices. Each row shows date, description, amount (¥), payment status (paid / open / void), and a link to the Stripe-hosted invoice.

Billing status

The current billing status is shown at the top of the Billing page.

StatusMeaning
activeactive — Subscription is current. All plan features are available.
past_duepast_due — The latest invoice failed to collect. Stripe retries automatically over several days. Plan features remain available during the retry window.
canceledcanceled — Subscription has ended. The workspace is on the Free plan.

Managing your plan

Go to Settings → Billing & Plan to view your current plan, usage, and AI credit consumption. Admins can upgrade, downgrade, or cancel from this page.

Data retention: If you downgrade to Free, all your data (equipment, bookings, history) is kept. Features are the same on every plan, so nothing is switched off; you just can't add beyond Free's limits (3 members, 50 items), and WerpAI™ drops to 50 credits a month.
